1. Who we are
Babul Haram Travels (“we”, “us”, “our”) is a UK-based travel agency specialising in Umrah and Hajj packages, flights and hotel arrangements. Our contact address is 9 Station Road, Yiewsley, West Drayton, UB7 7BT, UK. You can contact us by email at info@babulharamtravels.co.uk or by phone on +44 20 3883 4424.
We are the data controller for the personal information collected through this website (babulharamtravels.co.uk) and in the course of arranging your travel. This policy explains what we collect, why, who we share it with and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. The information we collect
- Enquiry and quote forms: your name, email address, phone number, preferred departure date, number of travellers and any message you send us.
- Bookings: the details needed to arrange travel for each traveller, including full name as shown in the passport, date of birth, gender, nationality, passport number and expiry date, contact details, and any special requirements (for example dietary, medical or mobility needs) that you choose to tell us about.
- Payments: records of payments made and refunds issued. Card payments are handled by our payment provider; we do not store full card numbers on this website.
- Communications: emails, phone calls, WhatsApp and other messages exchanged with us.
- Website usage: technical information such as IP address, browser type, device, pages visited and the site that referred you, collected through cookies and server logs. See our Cookie Policy.
3. How we use your information and our lawful basis
- To respond to enquiries and provide quotations – legitimate interests and steps taken at your request before entering a contract.
- To arrange and manage your booking, including flights, accommodation, transfers, visas and Ziyarat – performance of a contract.
- To pass traveller details to airlines, hotels, transport providers, visa processing services and the relevant Saudi authorities so that visas, permits and services can be issued – performance of a contract and legal obligation.
- To take payments and keep accounting records – contract and legal obligation.
- To send you information about our packages and offers where you have asked to receive it – consent, which you can withdraw at any time by contacting us or using the unsubscribe link.
- To keep our website secure and prevent fraud – legitimate interests.
- To comply with laws, regulations and lawful requests from authorities – legal obligation.
Health information (for example mobility or medical needs, or vaccination records where required for travel) is special category data. We process it only with your explicit consent or where it is necessary to provide the service you have requested.
4. Who we share your information with
- Airlines, hotels, ground transport companies, guides and other suppliers involved in delivering your travel arrangements.
- Visa processing partners and Saudi government authorities, as required to issue Umrah or Hajj visas and permits.
- Payment providers and banks.
- Our website hosting, email and IT service providers (this website is hosted by Hostinger).
- Professional advisers and insurers where necessary, and law enforcement or regulators where we are legally required to do so.
We do not sell your personal information.
5. International transfers
Because your pilgrimage takes place in the Kingdom of Saudi Arabia, traveller details must be transferred to suppliers and authorities there. Saudi Arabia is not covered by UK adequacy regulations; these transfers are made because they are necessary for the performance of your travel contract (Article 49(1)(b) UK GDPR). Where other service providers store information outside the UK, we rely on adequacy regulations or appropriate safeguards such as the UK International Data Transfer Agreement.
6. How long we keep your information
- Enquiries that do not lead to a booking: up to 24 months from our last contact with you.
- Booking records: for the duration of your trip and then for up to 7 years to meet legal, tax and accounting obligations and to deal with any claims.
- Marketing consents: until you withdraw consent, or after 3 years without any interaction from you.
- Website server logs: normally no longer than 90 days.
7. Your rights
You have the right to ask for access to your personal information, to have it corrected or erased, to restrict or object to its processing, to receive it in a portable format, and to withdraw consent where consent is our lawful basis. To exercise any of these rights, email info@babulharamtravels.co.uk. We will respond within one month. You also have the right to complain to the ICO at ico.org.uk or on 0303 123 1113.
8. Cookies
Our website uses a small number of cookies, most of which are strictly necessary for it to work. Details are in our Cookie Policy.
9. Security
We use appropriate technical and organisational measures to protect your information, including HTTPS encryption on this website and restricting access to booking records to staff who need it.
10. Children
Our services are aimed at adults. Where a booking includes children, their details are provided by, and processed under the booking of, a parent or guardian.
11. Links to other websites
This website may link to third-party websites. We are not responsible for their privacy practices and recommend that you read their policies.
12. Changes to this policy
We may update this policy from time to time. The latest version will always be published on this page with the date it was last updated.
